Join our growing team today!Position SummaryThe Bid Coordinator provides a critical support function for the HVAC Equipment business unit of LONG by organizing and monitoring various simultaneous bid processes. This position reviews requests for bids being submitted by salesmen, subcontractors and general contractors, as well as downloads/prints necessary plans and specifications for upcoming bids. They also log and tracks bids in project management software to ensure all deadlines are met while delegating lower level tasks to a team of supporting administrative assistants.Pay Range: $19 hr. - $24 hr. plus potential profit share.ResponsibilitiesDevelop understanding of basic construction and engineering project flows and processes.Monitors, flag for entry, prioritizes, distributes, and processes bid requests from salesmen, subcontractors and general contractors being sent to bids@ and lbe@.Interfaces with customers when necessary (Ex: providing a proposal to sales team for a project that already bid, requesting plans, specs or addendums or clarifications on bids or bid summaries).Answer and route incoming phone calls and emails accurately using professional language and pleasant etiquette.Monitor several online subcontractor and general contractor plan rooms for upcoming jobs bidding.Download plan/specs and distribute to sales teams as needed.Present complex bid information to respective parties in a one on one or small group setting.Makes alterations CRM as needed (ex: addendums, updated bid dates, change in bidders, plans, and specs)Trains administrative assistants on basic elements of bid processes and delegates lower level tasksDirects administrative assistants in following up in obtaining information on bid process and updates.Update and maintain CRM accounts, contacts and marketing lists.Update and distribute job status reports.Maintain manufacturer literature as well as maintains literature module in CRM.Other duties as assigned, including general administrative support of Building Environment group.Required Qualifications2 years of complex administrative support experience or 1 year of construction bid coordination experience in an office environment.1 year of customer service experience.Required Knowledge, Skills, AbilitiesAble to communicate professionally through written and verbal means with all levels of the organization and external customers.Understanding of basic construction engineering project processes and procedures.Familiarity with Microsoft Office applications, Adobe Acrobat, and Bluebeam software.Strong customer service skills with the ability to work independently while consistently meeting deadlines.Excellent multitasking, time management, and task prioritization.Problem solver with a high attention to detail.Preferred Qualifications & ExperienceFamiliarity with Microsoft Dynamics CRM.Basic reporting queries using SSRS.Working ConditionsEnvironment:Alcohol and Drug-free.Indoor office environment.Physical RequirementsRoutine sitting, lifting, bending, and kneeling.Ability to life 25 lbs. from floor to countertop and countertop to floor.HazardsNone.
