Position Title: Office Manager Employee Status: Non-Exempt Reports To: Drs. Shauna Gilmore or Matt Dunn Job Summary: We are not a DSO and never will be! Our Office Manager works closely with Drs. Gilmore & Dunn, Business Team Members, Lead EDDA, and Lead Hygienist to ensure that all aspects of the practice -are functioning effectively. Our Office Manager -guides the Business Team by effectively scheduling to goal, achieving 98% collections, directing daily scheduling factors, and maintaining the business systems (financial treatment plan presentations, monitors, recare, insurance processing, accounts receivable, business monitors, etc.) Qualifications: Our Office Manager is committed to creating excellent communications with Drs. Gilmore & Dunn and dental team; promoting a 'spa-like' environment; living "Repeatable Excellence"; implementing our Playbook; and exceeding expectations in performing essential duties as listed below. -Education / Experience / Certifications / Licenses

  • 2-year degree from a college or technical school
    OR
  • Equivalent combination of education and experience
  • Current CPR and First Aid certifications Knowledge / Skills / Abilities

    • Collects data, establishes facts, and -draws valid conclusions.
    • Quickly grasps relevant concepts regarding duties and responsibilities.
    • Knowledge of English composition, grammar, spelling, and punctuation.
    • Skilled in the use of standard office equipment including: telephones, -copiers, computers, and computer software (Practice Works, Dexis, and Weave). Office Manager -Essential Job Duties and Responsibilities -
      • Coordinates patient care by scheduling to goal, making financial arrangements (including billing and insurance), maintaining patient records, following up on delinquent accounts, and runs accurate daily reports.
      • Maintains daily Morning Huddle Sheets, Business Team Checklists, and business monitors on a daily, weekly, quarterly, and yearly basis.
      • During morning huddles or clearings, reports on productive results, addresses gaps that occurred, and evaluates patient flow. -Updates team on the status of goals and identifies schedule openings.
      • Communicates with team members and patients regarding schedule changes, emergencies, and tardy patients.
      • Must meet and manage to minimum monthly performance goals.
      • Analyzes business reports (accounts receivable, monthly collections and production, etc.) and meets with Drs. Gilmore & Dunn to discuss reports and make proactive recommendations.
      • Assures that our physical space is clean, professional, and well kept; that all clinical and office equipment is kept in proper working order; and arranges for other services as required.
      • Creates and maintains procedure manual for business, monitors effectiveness, and changes the program, as necessary, to ensure the highest quality.
      • Cross-trains business and clinical team members in their duties and responsibilities -working with them to expand their skills and knowledge. - -
      • Resolves conflicts that may arise with -team members -and/or patients and communicates concerns with Drs. Gilmore or Dunn.
      • Motivates dental team to achieve excellent customer service and patient satisfaction from services rendered.
      • Assists the doctor with developing a marketing program to maintain the financial welfare of the practice.
      • Reviews fee structures for products and services and recommends changes to achieve financial success.
      • Research costs associated with purchasing supplies and equipment to ensure the most advantageous price is obtained.
      • Coordinates continuing education events.
      • Conducts -business team -meetings and creates training segments for full team meetings as requested by doctor.
      • Has primary responsibility for many business activities, while other business team members have secondary responsibility. - Has secondary responsibility when other team members have primary responsibilities.

        -Physical and Environmental Requirements
        • Must be in good physical condition and be able to withstand the stress and demands of an active position.
        • May be required to lift up to -50 pounds or roll a 25-pound nitrous oxide machine -on wheels from one area to another.
        • Good hand-eye coordination.
        • -May be required to physically assist drowsy patients after anesthesia.
        • Active movement throughout the day: sitting, walking, standing, squatting, bending, stooping, reaching, etc. (not a sedentary position).
        • May be required to sit for long periods of time of up to 2 hours.
        • Vision: close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
        • Hearing: able to satisfactorily communicate with patients, doctors, and other staff members to ensure that verbal communication is clearly understood, particularly during emergency situations.
        • May be required to administer CPR.
        • Occasional exposure to toxic or caustic chemicals and radiation.
        • Possible exposure to moderate noise levels -in a -sometimes hectic and fast-paced environment. Additional or different duties may be assigned occasionally at Drs. Gilmore or Dunn's discretion.
